POSITION:Director, Finance & Administration Full-time, Permanent Non-bargaining unit position
LOCATION:  636 Kennedy Road, Scarborough, ON M1K 2B3  
DESCRIPTION:As part of the senior management team, this position is responsible for providing direction and leadership in overseeing the accounting, finances, information technology,  facilities development and maintenance, and administration for the agency.  This position supports the CEO, Board of Directors, Finance Committee and management by providing accurate and timely financial reports and ensuring financial reports for funders are provided on a timely basis.  This position is also responsible for the development and implementation of adequate internal controls to provide adequate management of the agency’s risk exposures.   Key Responsibilities:   Oversees the preparation of all financial statements for compliance and reporting to all funders and the Board of Directors.       Manages YouthLink’s accounting structure.  Manages all bank accounts and investments with the banking institution ensuring the best rate of return.Manages the benefits and pension package for staff and mangers.Directs the audit plan and process, prepares audited financial statements, ensures adequate internal controls and insurance coverage to protect agency assets and mitigate risk.  Ensures that policies and procedures are adhered to. Ensures all remittances are made.Acts as non-voting member of Finance Committee.  Provides financial reports as required, attends Board meetings to support the Chair of the Finance Committee with financial reports, annual audit plans and audit results.      In conjunction with the CEO, directors and managers develops the operating budget.  Works with the management team to regularly monitor expenditures.Presents operating budget to the CEO, Finance Committee and the Board of Directors and provides variance analysis.           Prepares report to all funders on a scheduled timetable.  This includes MOH, MCCSS, United Way, Pathways to Education and others as required.Supports the fund development process by contributing financial information to support development of proposals.        Assists with the budget reporting portion of reports required by various funders.Ensures receipts are prepared on a quarterly basis according to CRA standards.Reviews all service and funding contracts for the agency.  Maintains contracts, leases and all legal documents and financial filesIn conjunction with the Manager IT and Facilities, organizes the repair, maintenance and upgrading of all properties.With the CEO contributes to real estate analysis and planning  Provides oversight and supervision of properties.Responds to building maintenance or security matters.Key and access control managed for all locations and staffReviews the agency’s insurance coverage and makes recommendations to the Finance Committee to the insurance plans and policies.Supervises and provides oversight ensuring that YouthLink staff has the tools and technologies to perform their responsibilities.Works with the IT Manager and external company to ensures that the IT infrastructure meets the agency needs including cabling, connectivity, backup and recovery systems.Reviews Cyber Security and protocols regarding potential risk to the agencyServes on the Health and Safety Committee assuming the role of co-chairAs a senior team member contributes to short and long term planningPrepares performance management reviews as required for all direct reportsPrepares financial reports for the CEO as required and to support management decisions and planningActively contributes to the Agency’s Strategic Plan by participating in initiatives and committees to support the overall Plan.Contributes to the strategic planning and reporting outcomes for the agencyTakes all reasonable and necessary precautions to protect his or her health and safety and that of co-workers by complying and demonstrating knowledge of the policies, procedures and safe practices
EDUCATION:Undergraduate degree in Accounting, Business, Commerce or Finance.Professional accounting designation (CA, CMA or CGA).  
EXPERIENCE:7 years experience in accounting and finance and demonstrated supervisory experience in a non-profit organization preferably in the mental health field.Extensive knowledge and experience dealing with governance, accounting systems, budgets, internal controls, CRA, business planning, and asset management.Demonstrated experience managing within a unionized environment.Knowledge of facility management and building maintenanceKnowledge of IT systems, software and hardware used for business  
SKILLS & ADDITIONAL REQUIREMENT:Advanced MS-Office skills including developing financial models using MS Excel. High initiative and well developed analytical, problem solving and decision making skills.Excellent communication skills including writing, report preparation, and presentation skillsExcellent organizational & time management skills.Team player.Bilingual skills is an asset.Minimal travel is required.
DIRECT REPORTS:There are 2 direct reports to this position as follows: Manager, Finance. Senior Manager, IT & Facilities.  

35 hours per week

We know this is a stressful time for everyone, and we want you to be able to continue to access our counsellors and clinicians in a safe and secure way so we are now offering you online video-conferencing counselling and support.


Our E-Counselling What’s Up Walk-In service will be open Monday – Friday until further notice. If you would be interested in booking one of our daily video-conferencing appointments for a counselling or support session with a clinician, call 416-967-1773 extension 222 and you will be connected to our Intake department. E-Counselling and support is also available for many of our other programs. Intake staff can provide you with more information if you are interested.


Although many of our staff are temporarily working off-site, all of our housing and residential programs continue to operate as usual.
