Receptionist/ Administrative Assistant/ Data Management
(Permanent, Part-time 25 hours per week)
(Non-Bargaining Unit Position)
This position is the public facing, first point of contact for clients entering our Head Office and is responsible for delivering exceptional client service and assistance. This position leads the smooth operation of the reception area at Head Office. Greeting and assisting clients, responding to enquiries from clients and other service providers, maintaining a clean, welcoming, friendly environment, managing mailing and courier services, copying machines and all other technology, entering and updating data into the electronic health record (EHR) as required, opening and closing the office at 636 Kennedy. This position works with a team to provide administrative support to Managers and Directors across YouthLink specifically by maintaining inventory of supplies, centralized purchasing for all sites, information management and disseminating communication.
Additionally, this position provides administrative assistance to a team of clinicians to provide seamless Single Session Counselling, Brief Therapy, Short-Term Treatment for families and Ongoing Therapy at YouthLink’s head office. This position reports to the Manager of Operations and Projects.

This position is also expected to take all reasonable and necessary precautions to protect their health and safety, that of co-workers and clients by complying and demonstrating knowledge of the policies, procedures and safe practices.

What You Bring
Education:
- College Diploma in Office Administration, Business Administration, Communications or Marketing.
- Nonviolent crisis intervention training.
- Level 1 First Aid & CPR
- Certificate or training in mental health first aid, responding to clients in psychiatric crisis, or similar is an asset.
Experience:
- 2 years’ experience in an administrative role where maintaining confidentiality was paramount.
- Demonstrated customer/client service skills.
- Paid or volunteer experience in the social service, youth or mental health sectors a strong asset
Skills:
- Demonstrated customer/client service skills.
- Ability to work independently with a demonstrated ability to take initiatives.
- Proven ability to shift priorities, handle interruptions and meet deadlines.
- Strong written and verbal communication skills. Excellent telephone skills. Strong client-relations skills.
- Intermediate-level proficiency in Microsoft Office products (Word, Outlook Express, Excel and PowerPoint), other applications, and internet required.
- Ability and discretion to deal tactfully with situations and clients who potentially may have challenging behavior.
- Ability to maintain confidentiality.
- Attention to detail and high level of accuracy, including data-entry accuracy.
- Demonstrated commitment to reflection, growth and learning, in particular in the areas of Equity, Diversity and Inclusion.
- Demonstrated organizational skills and ability to juggle multiple tasks is an asset.
- Flexible person, team player with excellent interpersonal, organizational and time management skills is preferred.
- Proficiency in Adobe, Photoshop, Illustrator, Microsoft Project Manager and SharePoint an asset is an asset.
- Demonstrated skill in Equity, Diversity and Inclusion practices, and specifically using an Anti-Black Racism lens is an asset.
- Fluency in one or more languages besides English (e.g. French, Mandarin, Hindi, Urdu, Tagalog, and Tamil) is an asset.
Hours of work: 25 hours per week.
Monday: 5pm – 8pm
Tuesday: 9am – 12pm
Wednesday: 9am – 12pm
Thursday: 5pm – 8pm
Friday: 5pm – 8pm
Saturday: 10am – 3pm
Sunday: 10am – 3pm
Other requirement: Broad Record Police Check is required.
Compensation: $43, 074 (to be pro-rated based on hours worked)
